How to choose the right business phone

Not sure what to look for? Here's what actually matters when picking an office phone — and what doesn't.

What type of phone does a receptionist need?
Receptionists handle the most calls and need the most information at a glance. Look for a phone with a large color display, multiple line keys (at least 12), BLF (Busy Lamp Field) indicators to see who's on a call before transferring, and a headset port for hands-free operation. Speed dial buttons for frequently called extensions are essential. Recommended: Yealink SIP-T54W, Cisco 8851, or snom D785.
What about a phone for a private office or executive?
Executives need solid call quality, Bluetooth for pairing with a wireless headset, and a clean display — but usually don't need 20 line keys. A mid-range phone with HD voice, a color screen, and Bluetooth/Wi-Fi is the sweet spot. Recommended: Yealink SIP-T57W, Poly VVX 450, or Cisco 8845.
What do I need for a conference room?
Conference rooms need speakerphones with 360-degree microphone pickup so everyone around the table is heard clearly. For larger rooms, look for phones with expandable microphones. If you do video conferencing, consider a Konftel or Poly device with an integrated camera. Recommended: Poly Trio 8300, Yealink CP965, or Konftel 800.
Do I need Wi-Fi phones or wired phones?
Wired (Ethernet) phones are more reliable and the standard for most offices. Wi-Fi phones are useful in spaces where running cable is difficult or impossible — older buildings with plaster walls, temporary setups, or desks that move frequently. Most Yealink and Cisco models offer Wi-Fi variants. If you're unsure, go wired — it's one less thing that can go wrong.
What if I have remote or hybrid workers?
Remote workers don't need a desk phone at all — they can use the Callifi mobile app or desktop softphone to make and receive calls from their business number on any device. If they want a physical phone at their home office, we ship a pre-configured phone directly to their address. It connects to your system over their home internet.
Can I keep my existing phones and just switch to Callifi?
In many cases, yes — if your existing phones are SIP-compatible (most modern VoIP phones are). We can reprovision Cisco, Poly, Yealink, Grandstream, and snom phones to work with the Callifi platform. However, if your phones are more than 5-6 years old or are proprietary to your old PBX system (like Avaya or NEC branded handsets), it's usually better to replace them. We'll assess your existing hardware and tell you honestly what can be reused.
How much do VoIP desk phones cost?
Entry-level phones (basic 2-line, no screen) start around $60-80. Mid-range phones (color screen, Wi-Fi, Bluetooth, 8+ line keys) run $120-200. High-end executive phones and conference room devices range from $200-500+. We help you pick the right price point for each role — you don't need to spend $300 on a phone for a break room.
