We install hundreds of business phones every year across NYC. Different brands, different models, different budgets. Here's what actually matters when picking the phone that goes on your desk:
Yealink has become the default choice for most business VoIP installations in 2026. The build quality is excellent, the audio is reliable, and the price-to-feature ratio is hard to beat.
Yealink T54W — Our most-installed phone. 4.3" color display, 27 programmable BLF keys, gigabit ethernet, built-in WiFi and Bluetooth. Good for receptionists, office managers, and anyone who needs to monitor multiple lines.
Yealink T46U — Slightly more compact than the T54W with 4.3" screen and dual USB ports. Great mid-range option.
Yealink T31G — Entry-level model for desks that just need a phone. Gigabit ethernet, 2-line LCD, 4 programmable keys. Reliable and inexpensive.
Best for: Most NYC businesses. The T54W on the receptionist's desk and T31G or T46U on staff desks is a typical Callifi deployment.
Cisco phones are still common in larger enterprises and businesses migrating from on-premise Cisco systems. They're well-built and feature-rich, but the price is higher than Yealink and the user experience is more enterprise-focused.
Cisco 8845 — Color display, video calling support, gigabit ethernet, and Bluetooth. Premium option for executive desks.
Cisco 8841 — Audio-only version of the 8845. Same build quality, lower cost.
Best for: Businesses with existing Cisco preferences, executive desks, and offices migrating from Cisco Unified Communications.
Poly is best known for conference phones (the Poly Trio is iconic). Their desk phones are solid but less popular than Yealink in 2026.
Poly VVX 450 — 4.3" color display, gigabit, USB. Comparable to the Yealink T54W.
Poly VVX 250 — Mid-range with 2.8" color display and gigabit ethernet.
Poly Trio C60 / 8500 — The conference phone that defined the category. Excellent for conference rooms of any size.
Best for: Conference rooms (almost always), and offices with strong existing Poly relationships.
Grandstream is the budget-friendly option with surprisingly good quality. They're popular for small offices, hospitality, and any deployment where cost matters.
Grandstream GRP2624 — 8 lines, 24 BLF keys, color display. Strong feature set for the price.
Grandstream GRP2614 — Mid-range with color display and 4 lines.
Grandstream GDS3710 / GDS3712 — SIP door phones with HD camera and RFID reader. The standard for office door entry systems.
Best for: Budget-conscious deployments, small offices, hotels, and door phone installations.
Get the most BLF keys and the largest screen you can afford. The receptionist needs to see who's available across the office and transfer calls quickly. Recommendation: Yealink T54W or Poly VVX 450.
HD audio and a few programmable keys are enough. Don't overspend on phones that mostly sit idle. Recommendation: Yealink T31G or T46U.
Larger screens, video support if you do video calls, premium build quality. Recommendation: Yealink T54W, Cisco 8845, or Poly VVX 450.
Don't put a desk phone on the table. Get a real conference phone. Recommendation: Poly Trio for any room over 6 people. Yealink CP925 or Poly Trio C60 for huddle rooms.
Wireless DECT phones (cordless) like the Yealink W73P. Lets staff move around the warehouse and still answer calls.
