We visit your office, document your current system (how many phones, how calls route, what your pain points are), check your internet bandwidth, and assess cabling needs. You get a detailed quote with no surprises.

System design

We replicate your existing call flows — auto-attendant, hunt groups, ring patterns, voicemail, after-hours routing — in the new system. If you want to improve anything (add a call queue, change your greeting, set up mobile apps), we build that in too.

Cabling & network prep

If your office needs new network drops, PoE switches, or patch panel work, we do it before the phone swap. Most offices with existing Cat5e or Cat6 cabling need little or no new wiring.

Phone provisioning

We pre-configure every phone — Cisco, Yealink, Poly, or Grandstream — with the right extension, speed dials, and BLF keys. Phones arrive at your office labeled by desk position.

Number porting

Phone system replacement FAQ

Will there be any downtime when we switch?
No. Your old phone system continues working until the exact moment the new system goes live. We time the number port to coincide with the physical installation so there's an instant cutover. Your clients experience zero interruption.
Can we keep our existing phone numbers?
Yes — every phone number, fax number, and toll-free number. We port them from your current carrier. The process takes 3-5 business days and happens in the background while your old system is still running. On cutover day, the numbers instantly switch to the new system.
How long does a full phone system replacement take?
Typically 2-3 weeks from signed quote to go-live for a standard office. This includes assessment, cabling (if needed), system configuration, phone provisioning, number porting, installation, and training. Larger offices or multi-location businesses may take 3-5 weeks.
What happens to our old PBX hardware?
That's up to you. We can remove and recycle it, leave it for the building, or store it as a backup. Some businesses donate old-but-functional PBX equipment. We disconnect it as part of the installation at no extra charge.
Will my team need training on the new system?
Yes, and we provide it on-site on installation day. Modern VoIP phones are intuitive — most staff are comfortable within an hour. We focus training on daily tasks: making and receiving calls, transfers, voicemail, the mobile app, and the admin portal. We also leave quick-reference materials and are available by phone for follow-up questions.
How much does it cost to replace a phone system?
It depends on the number of phones, cabling requirements, and features needed. Our hosted VoIP is billed per user per month — no upfront PBX hardware cost, no maintenance contracts, no surprise fees. Most businesses replacing a legacy PBX find the monthly VoIP cost is comparable to (or less than) what they were paying for analog lines plus maintenance. Do I need new cabling in my office?
Maybe not. If your office already has Cat5e or Cat6 network cabling to each desk, we can use it. If you're running old Cat3 telephone wiring or have no data cabling, we'll need to run new cable.
