Common questions

Can Microsoft Teams send SMS text messages on its own?

No. Teams handles chat, calls and meetings between people inside organizations, not SMS to ordinary mobile numbers. CalliText for Teams adds text messaging to Teams using a real business phone number, so staff can text clients without leaving the app.

Do we need new phone numbers?

Not necessarily. You can text from a number you already have with us, or we can provide one. Several people can share a single number, which is usually what a front desk wants.

What is 10DLC, and do we have to do it?

A2P 10DLC is the registration US carriers require before a business can text mobile numbers at scale. It is not optional — unregistered messages get filtered or dropped. Callifi files and manages the registration as part of setting you up.

How are opt-outs handled?

Automatically. When somebody replies STOP, UNSUBSCRIBE, CANCEL, END or QUIT, they are opted out for the whole practice immediately — not just for the person who happened to receive it. START puts them back.

Can a manager read their team's messages?

A manager sees the conversations of the people assigned to them, and only those. A manager who supervises nobody sees nothing. Every time a supervisor opens somebody else's conversation it is written to the audit log.

What happens to messages when someone leaves?

Nothing. The conversations belong to the practice, not to the person who sent them. Remove their access in Microsoft 365 and the record stays exactly where it was.

Is it suitable for a healthcare practice?

It is built for one. Supervision, consent records, an immutable audit trail and practice-wide export are the reason it exists. That said, SMS is not an encrypted channel, and CalliText actively reminds staff to keep clinical detail out of text messages. Talk to us about your specific obligations before you roll it out.

Can we get our data out?

Yes. An administrator can export a single conversation or every conversation in the practice as a spreadsheet, whenever they like, without asking us.

Do we have to be a healthcare practice to use it?

No. It was built for practices that have to answer for what was said, so the supervision and audit features are unusually thorough — but the app is used by law firms, schools, property managers, brokerages, accounting firms and service businesses. Any team that texts customers from Microsoft Teams is a fit.

Do we need Microsoft Teams Phone to use CalliText for Teams?

Can we send appointment reminders to a lot of people at once?
