Built for law firms

A phone system that works like your firm does

Attorneys live on the phone — client calls, opposing counsel, court conferences, witness interviews. Your phone system should support how your firm actually works, not force you to work around it. Callifi builds phone systems for NYC law firms with call recording, cloud fax, shared line appearances, mobile app with firm caller ID, and after-hours routing to on-call partners.

The phone problems every NYC law firm has

📱

Attorneys giving out personal cell numbers

Clients save the attorney's cell and call at midnight. When the attorney leaves the firm, the client relationship goes with them. No call records in the firm's system.

📠

Fax machine in the hallway

Court filings, executed agreements, and insurance docs land face-up on a tray where any visitor can read them. Plus a $40/month dedicated line to power it.

🔴

No call recording controls

Your system either records everything (privilege issues) or nothing (no documentation). No per-attorney controls, no on-demand recording, no secure access.

🌙

After-hours calls go to voicemail and die

A potential client calls at 7pm. They get voicemail. They call the next firm on Google. By the time you check messages at 9am, they've already retained someone else.

🤷

The assistant can't see the attorney's lines

No shared line appearances. The assistant doesn't know if the attorney is on a call, can't pick up calls on their behalf, and transfers go to voicemail instead of the right person.

💬

Client texts go to personal phones

Clients text their attorney about case details on a personal number. Those texts aren't in the file, aren't retained by the firm, and can't be produced in discovery.

What Callifi builds for law firms

Every feature below is configured specifically for your firm's workflow — not a generic setup out of a box.

🎙️

Call recording with privilege controls

Record per extension, per direction (inbound/outbound), or on-demand (press a button mid-call). Role-based access — partners can review their own recordings, but not other attorneys' privileged calls. Secure storage with configurable retention.

📠

Cloud fax (CalliFax)

Send faxes from your computer, receive them as PDF attachments in your email. Court filings, executed agreements, and insurance docs go directly to the right attorney — not a paper tray in the hallway. Keep your existing fax number.

📱

Mobile app with firm caller ID

Attorneys make and receive calls from the firm's number on their cell phone. Clients see the office number, not a personal cell. Calls are logged in the system. When the attorney leaves, the firm keeps the number and the call history.

👥

Shared line appearances (BLF)

The assistant's desk phone mirrors the attorney's lines. They see which lines are active, can pick up calls on the attorney's behalf, park calls, and transfer seamlessly. Configured on Yealink and Poly phones with BLF keys.

🌙

After-hours routing

After 6pm, urgent calls route to the on-call partner's mobile app (firm caller ID, logged in the system). Non-urgent callers get a professional greeting and voicemail with transcription delivered to email. No answering service needed.

💬

Business texting (CalliText)

Attorneys text clients from the firm's number. Conversations are logged and retained by the firm. Appointment reminders, document confirmations, and quick client questions — all from a business number, all in the record.

We work with every type of firm

Firm typeWhat we typically configure
Solo practitionersProfessional auto-attendant so you don't sound like a solo, mobile app so you're reachable from court, cloud fax, voicemail to email
Small firms (2-10 attorneys)Shared line appearances for attorney-assistant pairs, call recording, ring groups for departments, after-hours routing to on-call partner
Mid-size firms (10-50 attorneys)Multi-department routing (litigation, corporate, real estate), call queuing for intake, multi-location extension dialing, CRM integration, advanced call analytics
Multi-office firmsAll locations on one system — transfer between Manhattan and Brooklyn offices with a 3-digit extension, not an outside call. Unified auto-attendant, shared directory, centralized billing

Why NYC law firms choose a local provider over RingCentral

National VoIP providers like RingCentral, Vonage, and Ooma can check the feature boxes. But there's a reason hundreds of NYC businesses choose Callifi instead:

We show up at your office

RingCentral mails you a box and wishes you luck. We come to your office at 16 East 40th Street, install every phone, configure your call flows, program your BLF keys, and train your receptionist, office manager, and attorneys in person.

We know your system because we built it

When you call Callifi, you get a person who configured your auto-attendant and programmed your phones. Not a tier-1 agent in another state reading from a script. We know your firm by name.

One vendor for everything

Phone system, internet, cabling, conference room phones, headsets — one call handles everything. No coordinating between a phone vendor, an IT company, and a cabling contractor.

Replacing an old system? If your firm is still running Avaya, NEC, Nortel, or Panasonic, we handle the full migration — same numbers, same extensions, zero downtime. Or if the old PBX works fine but your copper lines are failing, SIP trunks keep it running over internet.

Law firm phone system FAQ

Can call recordings be subpoenaed?
Call recordings are discoverable like any other business record. That's why access controls matter — you should know exactly who can access which recordings and have retention policies that align with your firm's document retention schedule. We configure role-based access so only authorized users can listen to or download recordings.
Do you integrate with Clio or other legal practice management software?
Callifi's VoIP platform supports integration with CRM and practice management systems. We can configure click-to-dial, call logging, and caller ID screen pops with platforms your firm uses. Contact us to discuss your specific software stack and we'll confirm compatibility.
What about attorney-client privilege and call recording?
We configure call recording with granular controls — per extension, per direction, or on-demand. Attorneys can choose which calls to record and which not to. Access to recordings is restricted by role. This gives your firm the documentation benefits of recording while maintaining control over privileged communications. Consult your ethics counsel on your jurisdiction's recording consent requirements.
Can we keep our existing phone numbers?
Yes — every phone number, fax number, and toll-free number. We port them from your current carrier with zero downtime. Your clients call the same number they always have.
We have offices in Manhattan and Brooklyn. Can they be on one system?
Yes. Hosted VoIP treats all locations as one system. Transfer between offices with a 3-digit extension. The receptionist in Manhattan can see which attorneys are available in Brooklyn. One auto-attendant, one directory, one bill. We handle cabling and internet setup at both locations.
How long does installation take?
Typically 2-3 weeks from signed quote to go-live for a standard firm. This includes site assessment, cabling (if needed), phone provisioning, number porting, system configuration, and on-site staff training. We schedule work to minimize disruption — attorneys keep using the old system until the exact moment the new one goes live.
What does it cost?
Monthly per-user pricing with no upfront PBX hardware cost. Most firms replacing a legacy system find the monthly VoIP cost is comparable to what they were paying for analog lines plus maintenance. We provide a detailed quote after the free on-site assessment. Month-to-month available — no multi-year lock-in. Call (212) 423-1234.
