What goes wrong when offices move their phones

We've walked into dozens of NYC offices on day two of a move where nothing works. Here's what we see over and over:

📡

Internet not ready

You moved in Monday but Verizon can't install until March. Nobody ordered the circuit early enough. Your phones need internet to work and there's no internet.

🔌

No cabling to the desks

The new space has zero network drops. Or the existing cabling is a mess of unlabeled Cat3 from the 90s. Your IT guy assumed the building was wired. It isn't.

📞

Phone numbers stuck at old address

Nobody ported the numbers. Or the port is "in progress" for 3 weeks. Your clients are calling your old office and getting a disconnected number.

📦

Old phone system won't work

Your Avaya or NEC system was plugged into copper lines at the old address. The new building doesn't have copper. The carrier says they can't provision POTS lines. Now what?

🤷

Nobody owns the phone problem

The movers don't touch phones. The IT company doesn't do cabling. The cabling company doesn't do phones. The carrier doesn't do anything on-site. You're coordinating 4 vendors who point fingers at each other.

Started too late

Internet circuits take 4-8 weeks to install in NYC buildings. Number porting takes 3-5 business days. Cabling takes 1-2 weeks. If you called two weeks before the move, you're already behind.

Three options for your office move — we handle all of them

Every office move falls into one of three categories. Tell us which one you are and we'll take it from there.

🔄 Fresh start — new VoIP system

Your office move is the perfect time to ditch the old PBX and go modern. We install a hosted VoIP phone system in your new space — new phones, new cabling, mobile apps, business texting, cloud fax, and all the features you've been missing. Keep all your existing phone numbers. Your team walks in on day one and everything works.

We handle everything: internet service comparison and setup, structured cabling (Cat6, patch panels, MDF/IDF), phone provisioning, number porting, auto-attendant programming, and staff training.

📦 Bring your existing system

Your current PBX works fine and you want to keep it. We relocate your Avaya, NEC, Nortel, Panasonic, Mitel, or Toshiba system to the new space — rack it, cable it, reconnect it, and test every extension. If the new building doesn't have copper lines, we install SIP trunks to connect your existing PBX to the phone network over internet.

Callifi handles the physical move, cabling at the new location, internet setup, SIP trunk configuration, and full testing before your team arrives.

🩹 Emergency — we moved and nothing works

You already moved and the phones aren't working. We do emergency on-site service across NYC — same day when possible. We'll diagnose what went wrong (internet not provisioned, cabling incomplete, system misconfigured, numbers not ported) and get you back up. Then we can plan a proper setup once the fire is out.

Everything we handle during your office move

One vendor for your entire communications setup. No finger-pointing between the internet company, the cabling company, and the phone company — because we're all three.

🌐

Internet service

We compare Verizon Fios, Spectrum, Pilot Fiber, and other ISPs for your new building. We handle the order, coordinate the install date with your move, and make sure it's live before you arrive.

🔌

Network cabling

Cat5e, Cat6, Cat6a runs to every desk. Patch panels, PoE switches, MDF/IDF buildouts, cable labeling and documentation. Your new space wired right from day one.

📞

Phone system

New VoIP installation or legacy system relocation. Pre-configured phones at every desk, auto-attendant, call routing, voicemail, and mobile apps — all tested and working before your team walks in.

🔢

Number porting

Keep every phone number and fax number your business has. We handle the port request, coordinate timing with your move date, and ensure zero-downtime switchover.

🛗

Elevator phones

If your new building needs elevator phone installation or inspection compliance, we handle that too. Code-compliant elevator phones are required in NYC — don't let it delay your C of O.

🎓

Staff training

On-site training at your new location. We train your front desk, your IT contact, and your team on the phone system, mobile app, voicemail, transfers, and admin portal.

The office move phone timeline

Here's how far in advance you should start — and what happens at each stage.

6-8 weeks before move: Call Callifi

We visit your current office AND your new space. We assess the cabling situation, check what internet providers serve the building, determine the best phone approach (new VoIP vs relocate existing), and build a project plan with milestones.

5-6 weeks before: Order internet circuit

Internet installation in NYC buildings can take 4-8 weeks. We order it immediately and coordinate with the building manager for access. This is the #1 reason moves fail — don't wait.

3-4 weeks before: Cabling installation

We run cable to every desk position, install patch panels and PoE switches, build out the server/telecom closet, and test every run. Done before furniture arrives so we're not working around desks.

2 weeks before: Initiate number port

We submit the port request to transfer all your phone and fax numbers. The port completes on your scheduled move date — old phones work until the exact moment the new system goes live.

1 week before: Phones configured & shipped

Every phone is pre-programmed with the right extension, speed dials, and settings. They arrive at your new office labeled by desk position. Plug in and go.

Move day: On-site installation

Our team is at your new office. We install phones, connect everything, verify internet is live, test every line inbound and outbound, configure voicemail, and train your staff. You're making calls by the time the movers finish with the furniture.

Week 1: Post-move support

We're available all week for adjustments — move a phone, change a ring pattern, fix something the movers bumped. One call to us handles it.

Office move phone questions

How far in advance should I contact Callifi before my office move?
Ideally 6-8 weeks. Internet circuits in NYC buildings can take 4-8 weeks to install, and that's the critical path item. The earlier you call, the more options you have. That said — if your move is in 2 weeks and you're panicking, call us anyway. We've done emergency moves and we'll figure it out.
Can I keep all my existing phone numbers when I move?
Yes. We port all your existing phone and fax numbers regardless of whether you're installing a new VoIP system or relocating your old one. The porting process takes 3-5 business days and we time it to coincide with your move date for zero downtime.
Should I move my old phone system or get a new one?
It depends on the age and condition of your system. If your PBX is working well and less than 8-10 years old, relocating it often makes sense. If it's older, requires copper lines that the new building doesn't have, or if you've been wanting features like mobile apps and business texting, an office move is the cleanest time to upgrade. We'll give you an honest comparison of both options — we handle both, so we have no bias.
My new building doesn't have copper phone lines. What do I do?
Two options. First: upgrade to a hosted VoIP system that runs over internet — no copper needed. Second: keep your existing PBX and we install SIP trunks that deliver phone service over your internet connection to your old system. Either way, you don't need copper anymore.
Do you handle the internet and cabling too, or just phones?
We handle all three. Internet service — we compare providers, order the circuit, and coordinate the install. Network cabling — Cat6 to every desk, patch panels, PoE switches, labeled and documented. Phones — new VoIP install or legacy system relocation. One vendor, one project manager, no finger-pointing.
How much does an office move phone setup cost?
Cost depends on the number of phones, how much cabling your new space needs, and whether you're installing new VoIP or relocating an existing system. We provide a detailed quote after visiting both locations — no surprises. The assessment is free. Call (212) 423-1234.
We already moved and our phones don't work. Can you help?
Yes. We do emergency on-site service across NYC. Call (212) 423-1234 and we'll dispatch a technician to diagnose and fix the issue — whether it's an internet problem, cabling issue, phone system misconfiguration, or number porting delay.
