Microsoft Teams Phone vs. Traditional VoIP: Which Should Your NYC Business Choose?

Teams Phone and hosted VoIP both replace the old office phone system — but they suit different businesses. An honest framework for choosing, from a company that installs both.

Two modern answers to the same question

When an NYC business replaces an aging phone system in 2026, the shortlist usually comes down to two architectures: hosted VoIP (a dedicated cloud phone system with desk phones and apps) or Microsoft Teams Phone (calling built into the Teams software your team may already use all day). We install both, so this isn't a sales pitch for either — it's the framework we walk clients through.

The deciding question: where does your team already live?

If your company runs on Microsoft 365 and your people spend their day inside Teams — chat, meetings, files — then adding calling to Teams is compelling. One app, one directory, one place a call, a chat, and a meeting all happen. Calling connects through Operator Connect, your numbers port in, and desk phones exist for those who want them.

If your team is not a Teams-centric office — retail, medical, field service, professional offices where the phone is its own tool — a dedicated hosted VoIP system is usually the better fit. It's built around telephone workflows: receptionist views, paging, intercom, fax, robust desk phone options, and features that don't assume everyone's at a computer.

Where each one is genuinely stronger

Teams Phone wins on: unified software (call/chat/meet in one), mobility without extra apps, and cost efficiency when you already pay for Microsoft licensing. It's especially strong for hybrid and professional-services teams.

Hosted VoIP wins on: pure telephony depth — front-desk workflows, overhead paging, door and elevator integration, analog device support (fax machines, alarm lines), simpler licensing, and independence from your Microsoft tenant. When Microsoft 365 has a bad day, your phones don't.

Both need attention on: reporting. Teams' native call analytics are famously thin — which is why we built the Customer Experience Oracle — and VoIP platforms vary widely in reporting quality.

The hybrid nobody mentions

Plenty of NYC businesses run both on purpose: Teams Phone for the office staff who live in Microsoft 365, hosted VoIP lines for the front desk, the warehouse, the fax machine, the door buzzer, and the elevator. There's no rule that one system must do everything — and pairing them often costs less than forcing either to cover jobs it's bad at.
