Want real phone numbers in Microsoft Teams? Here are the three ways to do it — Calling Plans, Operator Connect, and Direct Routing — with the practical steps and gotchas for each.

First, the license

Whatever route you choose, users need Teams Phone licensing before a number can be assigned. It's included in some enterprise Microsoft 365 plans and available as an add-on for the rest. Sort licensing first; every path below assumes it's in place.

Way 1: Microsoft Calling Plans

Buy calling directly from Microsoft. In the Teams admin center you acquire numbers (or port existing ones) and assign them to users. It's the fastest to stand up and requires no third party — and you pay for that convenience with the highest per-user calling rates and support that consists of Microsoft's general queue. Reasonable for very small teams; expensive at scale.

Way 2: Operator Connect (the usual right answer)

A carrier delivers calling into Teams through Microsoft-managed peering. Your operator provisions the numbers; they appear in your Teams admin center under the operator's name, and you assign them to users, call queues, and auto attendants like native resources. No SBC, no infrastructure, carrier-level rates, and an actual provider to call when something needs fixing. This is the mainstream choice for businesses that want real phone service in Teams. Full explainer: what Operator Connect is and how it works.

Way 3: Direct Routing

Connect any carrier yourself through a Session Border Controller. Maximum flexibility — any carrier, any country, complex routing — at maximum complexity: you or a partner deploys and maintains the SBC and owns the integration. Choose this only when a specific requirement forces it.

Porting your existing business numbers

The step everyone worries about, and the one that's genuinely routine when managed properly:

More detail: how number porting works.

After the numbers land: the setup that actually matters

Assigning numbers is the easy 20%. The rest is building the phone system around them — auto attendants that route callers correctly, call queues with sensible hold behavior, business hours, voicemail, desk phones for the people who want them. Skipping this is how companies end up with expensive Teams calling that behaves worse than the old PBX. Common pitfalls: Teams Phone setup mistakes to avoid.
